BEFORE THE CONFERENCE – checklist

Actions: Familiarise yourself with this information – know where to go, what to bring – BOOKMARK THIS PAGE

Please try to be as self-sufficient as possible by using the information provided here, we will have IT support and such but it will be extremely busy in the morning.

If you have ANY questions, contact Adrian via email or phone by Thursday 16th October. On Friday (17/10) to Thursday (23/10) CALL 0413 036 382 (Adrian) or 0411 270 277 (Rachel).

  1. Your Workshop Room ID  + Number of participants: *vOct7* – numbers may change as we receive feedback from schools.
  2. Presenter Information: Parking, Sign-in, WiFi, Connecting to TV / projectors, Set-Up PLUS what you need to bring with you!
  3. Overview Map + Room Photos VIC ITAS Conference: details where to park, overall workshop room locations, Maps of Room locations / draft EXPO layout, photos of parking and rooms, etc.

General information

Sign-in/Registration – outside the Robert Read Resource Centre

 – Everyone must sign-in and collect your name badge!

  • Flow of the day
    • 8.00am Participants start arriving
    • 8.45am Participants Welcome – day begins in the David Abraham Auditorium
    • 9.00am Keynote Speaker: Dr Tim Kitchen, Senior Education Specialist – Adobe
    • 9.30am Participants move to workshops
    • 9.40am Rotation One begins (40 minutes)
    • 10.25am to 10.55am morning tea
    • 11.00am Rotation Two begins (80 minutes)
    • 12.20pm to 12.55pm lunch
    • 1.00pm Keynote Speaker: Associate Professor Phoebe Toups Dugas, Exertion Games Lab, Creative Technologies Discipline Group – Monash University 
    • 1.40pm Rotation Three begins (40 minutes)
    • 2.30pm Feedback, Prizes, Acknowledgements
    • 2.45pm End of conference

PARKING AND DROP OFF POINTS

All attendees, presenters, and parental and bus drop offs to enter via Burwood Highway

It is a normal school day – expect traffic. Follow the traffic flow map.

Entry and Exit flow

  • All vehicles enter via Burwood Hwy.
  • EXIT via back gate of school only – Merryn Gve

  1. PARK your vehicle on the Hockey Field

  2. Sign-in at registration

  3. Unload and Set-up for workshop – see Presenting Information page 2.


PARKINGfor all attendees and presenters is on the Hockey Field. Attendee / Presenter Parking Area (see map)

  • Cars: follow the directions of the traffic management staff stationed on the Hockey Field.
  • Mini-buses: up to 13 seaters can park on the Hockey Field. Follow the directions of the traffic management staff stationed on the Hockey Field
  • Larger buses: need to drop off at the designated turning circle and park elsewhere if staying at the conference. (green star on map)
  • All Presenters
    • Park vehicle on the Hockey Field. Attendee / Presenter Parking Area (see map)
    • THEN make your way to the registration area outside the Resource Centre to sign-in.
    • Expo Presenters can then bring your materials to the Auditorium Foyer to set up.
  • There will be some disabled parking spots provided on the Hockey Field. Drop off point wheelchair access (see map).
  • Presenters or attendees arriving late: it is likely the Hockey Field runs out of space.
    • Parking will be on-streets at back of the school via Merryn Grove.
    • You will NOT be able to use carpark in the lower school near the turning bay for buses as this will be used entirely by Knox School staff.
    • Late arrivals ONLY: Drop off materials only in reception car park then move as soon as materials unloaded. (see blue arrow)

SIGN-IN

  • All attendees, and workshop and STEM Expo presenters: Sign-in is at the registration area outside the Resource Centre. You must sign in and get your nametags and conference booklets before setting up.
  • STEM Expo and First Rotation Workshop presenters: after signing in go and set up in the assigned rooms before returning for the conference opening and first keynote speaker in the Auditorium.
  • All non-presenting attendees should enter the Auditorium for the start of the conference.
  • If you are arriving later in the day to present then please make your way to Auditorium Foyer where there will be a presenter table with your name tags and conference booklet, etc.

PRESENTING INFORMATION

  • STEM Expo presenters: bring your own trestle cloths, power boards, and extension cords for your table(s)
  • Workshop presenters: The Knox School will have HDMI cables available to connect to the TVs in each room. If you have a Macbook then bring your own dongle to connect to the HDMI cable.

Arrive 7.45am to 8.15am

(ROTATION ONE is scheduled to begin at 9.40am however it may start earlier or slightly later depending on the keynote)

STEM EXPO presenters: you are in the David Abraham Auditorium foyer building (see draft layout)

  • Be set up by 8.40am to not disturb the conference opening and keynote speaker.
    • Bring your own trestle cloths, extension cords and power boards if you are using power. There are power access points near the tables of those who have told us they require power.
    • Note: Be aware that there will be students ranging from Year 4 to 10 in the EXPO who will visit your activities.

ROTATION ONE Workshop presenters: set up and ready to start by 9.30am. NOTE: your room may have a workshop running in rotation two and they will set up at the end of your session.

    • You will need to bring your own laptops and presentation clickers.
    • The Knox School will have HDMI cables available to connect to the TVs in each room. If you have a Macbook then bring your own dongle to connect to the HDMI cable.
    • IT staff will be available in the morning to assist. Mobile phone for IT Support: 0447317425

Arrive by 10.15amAllow extra time to park, find your room, and set up.

ROTATION TWO Workshop + PROBLEM SOLVER presenters. NOTE: your room may have a rotation one workshop finishing up at 10.20am.

    • Sign-in first and collect name tag
    • Let us know you have arrived – send a text to Adrian 0413 036 382
    • Be ready to begin at 10.55am
    • Your session is 11.00am to 12.20pm

 


(12.25pm to 12.55pm – lunch)
(1.00pm Keynote Speaker: Associate Professor Phoebe Toups Dugas, Exertion Games Lab, Creative Technologies Discipline Group, Monash University)

Arrive 12.45pm to 1.00pm Allow extra time to park, find your room, and set up.

ROTATION THREE Workshop presenters

    • Sign-in first and collect name tag
    • Let us know you have arrived – send a text to Adrian 0413 036 382
    • Be ready to begin at 1.30pm
    • Your session is 1.40pm to 2.20pm
