PRESENTER SET UP AND LOGISTICS

Thank you for being a presenter at the Tasmanian It Takes a Spark! STEM Conference on Friday, 29th November 2024

Venue: Launceston Church Grammar School - Senior Campus, 36 Button St Mowbray TAS 7248

BEFORE THE CONFERENCE – checklist to be prepared

Actions: Familiarise yourself with this information – know where to go, what to bring – PRINT THE DOWNLOADS

Please try to be as self-sufficient as possible by using the information provided here, we will have IT support and such but it will be extremely busy in the morning.

  1. Workshop Room Allocation + Number of participants: *upload version 21/11/2024
  2. Presenter Information: Parking, WiFi, Set up, Sign-in PLUS what you need to bring with you!

Plan Friday 29th November: Checklist – what to bring + do on arrival

Arrive from 7.45am

Sign-in/Registration near the War Memorial Hall – Everyone must first sign-in and collect your name badge!

  • Morning timeline
    • 8.00am Participants start arriving
    • 8.45am Participants Welcome – day begins
    • 9.00am Keynote Speaker – Dr Meredith Castles
    • 9.30am Participants move to workshops
    • 9.40am Workshops start

7.45am to 8.30am – STEM Expo and First Rotation Workshop presenters

  • Sign in first, then set up before returning for the conference opening and first keynote speaker.
    • If you need to drop off materials for your Expo session
      • It is a short walk from the presenter car park to the Expo and workshops are in the JR Hughes Building 
      • Park your vehicle
      • THEN make your way to the registration/sign-in area outside the War Memorial Hall (see map).

STEM EXPO presenters: you are in the Senior School Common Room – (see maps for draft STEM Expo layout)

    • Bring your own trestle cloths, extension cords and power boards if you are using power. There are power access points near the tables of those who have told us they require power.
    • STEM EXPO be set up by 8.40am if you want to attend the keynote speaker in the War Memorial Hall proper.
    • Note: Be aware that there will be students ranging from Year 4 to 10 in the EXPO who will visit your activities.

Workshop presenters – review Workshop Rooms allocation and Maps to know which room you are using.

    • Sign-in: You are better to arrive early as all no-school workshop presenters must sign-in and get their name tags at the registration table in the War Memorial Hall prior to setting up
    • Rotation One presenters to be set up and ready to start by 9.30am
    • Connecting to the TV’s in rooms.
      • For Windows PCs users – When you are in the classroom, Hold the Windows Button down and press the K button. This will open up a pop up window which will look for a local device to cast your screen to. Choose the TV in the classroom and it will automatically connect via Bluetooth.
      • For Apple MAC users – you will need to bring along your own adaptor to a HDMI cord. There will be HDMI cables available on the day for you to plug into the local TV / projector. Collect the HDMI cable from the Info desk in the Expo area.

10.00am to 10.15am

Problem Solver Session presenters Arrive by 10.15am arrive with enough time to park, find your room, and set up.

    • Problem Solver Session be ready to start your workshop at 11.00am
    • Sign-in at Senior School Common Room (STEM Expo) Information table
    • Let us know you have arrived – send a text to Adrian 0413 036 382

12.45pm to 1.00pm

Rotation Two presenters – Arrive by 1.00pm arrive with enough time to park, find your room, and set up.

    • Rotation Two workshops be ready to start at 1.40pm
    • Sign-in at Senior School Common Room (STEM Expo) Information table
    • Let us know you have arrived – send a text to Adrian 0413 036 382
