PRESENTER SET UP AND LOGISTICS

Thank you for being a presenter at the Victorian It Takes a Spark! STEM Conference on Thursday, 24th October 2024

Venue: The Knox School, 220 Burwood Hwy, Wantirna South VIC 3152

BEFORE THE CONFERENCE – checklist to be prepared

Actions: Familiarise yourself with this information – know where to go, what to bring – PRINT THE DOWNLOADS

Please try to be as self-sufficient as possible by using the information provided here, we will have IT support and such but it will be extremely busy in the morning.

DOWNLOADS

  1. Workshop Room Allocation + Number of participants: TBA
  2. Presenter Information: Parking, Sign-in, WiFi, Setting up PLUS what you need to bring with you!
  3. Maps of school + Parking: details of where to park, STEM Expo draft layout and workshop room locations.

Plan Thursday 24th October: Checklist – what to bring + do on arrival

Arrive from 7.45am

Sign-in/Registration outside the David Abraham Auditorium (DAA) – Everyone must sign-in and collect your name badge!

  • Morning timeline
    • 8.00am Participants start arriving
    • 8.45am Participants Welcome – day begins
    • 9.00am Keynote Speaker – Dr Sara Webb
    • 9.30am Participants move to workshops
    • 9.40am Workshops start

7.45am to 8.15am – STEM Expo and First Rotation Workshop presenters

STEM EXPO presenters: you are in the David Abraham Auditorium foyer – (see maps for draft STEM Expo layout)

    • If you need to drop off materials for your Expo session
      • park near the David Aitken Pavilion and bring your materials to the David Abraham Auditorium foyer to set up.

      • THEN park your vehicle on the Hockey Field – Attendee / Presenter parking area (see map).
    • Bring your own trestle cloths, extension cords and power boards if you are using power. There are power access points near the tables of those who have told us they require power.
    • STEM EXPO be set up by 8.40am if you want to attend the keynote speaker in the Auditorium proper.
    • Note: Be aware that there will be students ranging from Year 4 to 10 in the EXPO who will visit your activities.

Workshop presenters – review Workshop Rooms allocation and Maps to know which room you are using.

    • Rotation One presenters to be set up and ready to start by 9.30am
    • The Knox School will have HDMI cables available to connect to the TV’s in each room. If you have a Macbook then bring your own dongle to connect to the HDMI cable.
    • IT staff will be available in the morning to assist.
    • Sign-in: You are better to arrive early as all non-school workshop presenters must sign-in and get their name tags at the registration table in the Auditorium foyer prior to setting up.

10.00am to 10.15am

Problem Solver Session presenters Arrive by 10.15am arrive with enough time to park, find your room, and set up.

    • Problem Solver Session be ready to start at 10.50am
    • Sign-in at David Abraham Auditorium foyer Information table
    • Let us know you have arrived – send a text to Adrian 0413 036 382

12.45pm to 1.00pm

Rotation Two presenters – Arrive by 1.00pm arrive with enough time to park, find your room, and set up.

    • Rotation Two workshops be ready to start at 1.40pm
    • Sign-in at David Abraham Auditorium foyer Information table
    • Let us know you have arrived – send a text to Adrian 0413 036 382
